Responsibilities
- Administration (70% of workload):
- Coordinating administrative processes in several offices in different geographies
- Implementation an interior design project in for our Belgrade office (More than 100 employees)
- Controlling spot and repeat purchases for consumables and services
- Regular communication with other Business Units to harmonise administrative processes in different countries
- Manage office events
- Conduct tenders for new services providers of consumables and services
- Travel Coordination (30% of workload):
- Particapte in preparation and consolidation of information on travel policies for several legal entities, taking into account country-specific legislation regarding business trips (per diems etc.)
- Participation in policy preparation and providing analysis, for policies related to travel (hospitality, accrual of per diem, cost compensation etc.)
- Assist in budget estimation
- Assist with travel arrangements for employees during large team events
- Team Management:
- Manage a team of five facilities and coordination employees, responsible for office management, personal assistance and travel and administration.
Requirements
- Similar previous work experience
- Team leadership/management experience
- Strong ability to multitask, and work well in fast moving, occasionally stressful periods
- Must work well in a team environment, dealing with many parts of the business
- Sound knowledge of general HR principals
- Experience managing projects in an organised, well controlled and logical way
- Good Business English language and ideally experience working with international colleagues
